Spun lets visa and travel-document services handle every applicant on their WhatsApp number from one shared inbox, with each case on a board of stages you name. It runs on a flat monthly plan with team members free and a free trial, and it needs no Business API approval and no new number. PII redaction removes ID numbers and other personal data before messages reach Spun's AI; Spun does not submit, check or store applications for you.
What gets in the way
"Is my visa ready?" all day
Each answer means finding the case first.
Missing documents slow every case
Nobody is sure what is still missing.
Personal data in every chat
Passport numbers and addresses arrive in messages, and you want them kept out of any AI.
Cases move between agents
The next agent cannot see what was agreed.
How your team works it
Connect the service number
Link the number applicants already message as a linked device.
Set PII redaction first
Choose a level in Settings, AI, Safety & Privacy, from Maximum, the strictest, to Full AI.
Name your stages
Build a board with your own stages, and give every case handler their own login.
What Spun gives you
Each application on a board
The pipeline shows each applicant as a card on stages you name, with notes on the contact, so anyone sees where a case stands. Moving a card can trigger a WhatsApp message, but only to applicants who wrote to you first. The free trial shows one board.
Learn morePII redaction before the AI
PII redaction removes phone numbers, ID numbers such as a passport number written in a message, addresses, financial details and health information from what reaches Spun's AI, for the AI services you choose, such as drafting, summaries and the chatbot. It works on message text, not on photos, and your team still sees the original. It does not verify or store documents for you.
Files kept with the conversation
Photos and documents an applicant sends are copied into Spun's storage with the chat, so any case handler can open them later. Spun does not read, check or verify them, and it is not a document vault: keep the application file in your own system.
Document checklists in one tap
Save each country's checklist and your status updates as quick replies, and insert one by typing "/". They are your own saved texts, not Business API templates.
Alarms when an applicant waits
Alarm rules create a reminder when an applicant has waited too long for a reply. Alarms notify your team; they do not reply for you.
Applicants' languages
Read an applicant's message in your language and reply in theirs. The translation is automatic, so have a person check anything that goes into an application.

What Spun does not do
- Spun does not submit, check or approve visa applications, and it does not read or verify passports or other documents.
- It is not a document vault. Files applicants send stay with the chat; keep the application file in your own system.
- A connected ChatGPT or Claude can read photos only when media access is on for your organisation and its photo box is ticked; what it reads goes to that AI provider, so leave it off if applicants send ID photos.
- It does not take payments. Send your own payment link.
- It does not use the WhatsApp Business API or its pre-approved message templates. It runs on your normal number, so it follows normal WhatsApp limits.
Frequently asked questions
Can I track visa applications through stages on WhatsApp?
Yes, use a pipeline board with your own stages, such as Documents requested, Submitted and Approved, and keep notes on each contact. Spun does not submit or check applications; it keeps the conversation and the stage in one place.
Can I keep customers' documents out of the AI?
Yes, PII redaction removes personal data such as ID numbers and addresses from what reaches Spun's AI, with the strictest setting called Maximum. It works on message text, not on photos. Your team still sees the original messages and files.
Can applicants send passports and documents on WhatsApp?
Yes, photos and documents an applicant sends are copied into Spun's own storage with the conversation, so the whole team can open them later. Spun does not read or check passports, and it is not a document vault.
Does the AI see applicants' personal data?
Only what you allow: for Spun's own AI features, PII redaction removes personal data such as ID numbers, phone numbers and addresses at the level you choose, and summaries and drafts show a redacted preview. A connected ChatGPT or Claude sees only what its access level allows, and what it reads goes to that AI provider.
An applicant asks for an update at night. What happens?
Whoever is on call sees it in the same shared inbox, or an out-of-hours auto-reply tells the applicant when the team is back. An alarm rule can flag the chat if nobody answers within the time you set.
Can I keep my current WhatsApp number?
Yes, Spun connects the number you already use, with its chats. Applicants keep writing to the same number and your team answers it from Spun.
