Spun lets every receptionist answer your hotel's existing WhatsApp number from one shared inbox, each with their own login, so day and night shifts see the same guest chats. It runs on a flat monthly plan with team members free and a free trial, and it needs no Business API approval and no new number. AI suggests replies, summarises long conversations and translates guests who write in another language, while a person sends every message.
What gets in the way
Night messages wait until morning
A guest asks about a late arrival after midnight, and the answer depends on who has the phone.
One handset for every shift
Nobody is sure who promised the late check-out.
Guests write in other languages
A message in German or Portuguese waits until someone can read it.
Photos and voice notes get buried
A photo of a dripping tap scrolls away before the next shift arrives.
How your team works it
Connect the front-desk number
Link the number on your booking confirmations as a linked device. The hotel phone keeps working alongside Spun.
Give each receptionist a login
Day shift, night shift and the manager share one inbox. To give someone less, share only the chats in a saved filter or pipeline stage; they still work inside the same number.
Let AI read while people send
AI prepares each answer, and the receptionist sends it.
What Spun gives you
One inbox for every shift
The whole front desk answers the hotel's number from one shared inbox, so the morning shift opens the chats the night shift worked on. No per-seat fees; the plan itself is paid after the free trial.
Learn moreSmart replies and drafts
Spun suggests ready-to-send replies in guest chats and drafts an answer from a few words. A receptionist picks the reply and sends it.
Translation for every guest
Read a guest's message in your language and reply in theirs, per message or for the whole chat. The detected language is shown; for legal or medical wording, a person should check.
Learn moreVoice notes as text
Guests' voice notes are written out as text, in every chat or only the ones you choose. Transcription is automatic, so check room numbers and times.
Learn moreRoom photos kept with the chat
Photos and documents guests send are copied into Spun's own storage with the chat, so the next shift can open them. Spun keeps the files; it does not read or check them.
Arrival details, scheduled
Schedule the arrival details from the guest's chat for the evening before. One message per schedule: it is not a bulk drip, it does not read dates from a booking system, and it may leave a few minutes late, never early.

- 07:20An alarm rule has flagged a guest who waited too long overnight, so the morning shift answers that chat first.
- 09:10A guest sends a photo of a dripping tap, and the receptionist turns the chat into a task for maintenance.
- 11:00A guest who booked through Booking.com asks where to park; the receptionist types "/" and inserts the parking quick reply.

- 16:00The manager reads the summary of a long chat before replying.
- 18:30Tomorrow's arrival details are scheduled from each arriving guest's chat, one message per guest.
- 23:40The night receptionist answers a late-arrival question with a smart reply.
What Spun does not do
- It does not connect to your PMS, channel manager or Booking.com. Copy details into your booking system, or export chats to Google Sheets.
- It does not take bookings or payments. Send your own booking or payment link.
- It does not use the WhatsApp Business API or its pre-approved message templates, so normal WhatsApp limits apply.
- It does not send AI replies unless you decide so. A chatbot only runs if you switch it on, and it marks every reply it sends.
- It is not built for a hotel with hundreds of rooms that needs PMS-driven messages; a hospitality tool built on the Business API suits that hotel better.
Frequently asked questions
How can several receptionists answer one hotel WhatsApp number?
Connect the hotel's number to Spun and give each receptionist their own login to the same shared inbox. Everyone sees the same guest chats. Team members are free, and you can share only some chats with a person if you need to.
Can AI draft replies to hotel guests on WhatsApp?
Yes, Spun suggests ready-to-send replies in guest chats and can draft or rewrite an answer from a few words. A receptionist reads the suggestion and presses send, so nothing goes out without a person.
Who answers guests at night?
You choose: someone on the night shift answers from the same inbox, or an auto-reply or AI chatbot answers outside business hours and hands over to a person when the guest asks. An alarm rule can flag any chat that has waited too long, so the morning team sees it first.
How do I send check-in and check-out instructions automatically on WhatsApp?
Save your instructions once as a quick reply, then schedule them from each guest's chat for the evening before arrival or the morning of check-out. Spun does not read your booking system, so it does not know arrival dates by itself.
Can I label guests by stay stage?
Yes, create labels such as Enquiry, Booked, In-house and Checked-out and move guests between them, or let AI auto-labelling suggest one. Labels come from what you set and what the chat says, not from your PMS.
Does Spun connect to my booking system or channel manager?
No, Spun does not sync with a PMS, channel manager, Booking.com or Airbnb. It handles the WhatsApp side: conversations, team, AI and reminders. You can export contacts and chats to Google Sheets and copy what you need into your booking system.
Try Spun on your own number
Connect the number your guests already use and bring your team in. Team members are free, and the free trial needs no Business API.
