Save your check-in and check-out instructions once as quick replies in Spun, then schedule them from each guest's chat for the evening before arrival or the morning of check-out; an auto-reply rule can also answer when a guest asks "what time is check-in". Spun runs on a flat monthly plan with team members free and a free trial, and the messages go from your hotel's own WhatsApp number, with no Business API templates and nothing to submit for approval. Scheduled messages are paced like a person sending them: each leaves a few minutes after its time, never early. Spun does not read your booking system, so each message is set from the guest's chat, one at a time; it is not a bulk drip.

What gets in the way

The same instructions typed every day

Door codes and parking details are retyped for every arrival.

Guests ask the evening before

Questions about parking arrive after the desk has closed.

Template tools want approval first

Business API tools need every template approved before it can be sent.

How your team works it

1

Save the instructions as quick replies

Open Quick Replies from the sidebar and add one for each text, such as Check-in, Check-out and Parking, each with a title and a message.

2

Insert one in the guest's chat

Open the chat, type "/" in the empty message box and pick the check-in reply. Add the room number.

3

Schedule it

Click the clock icon next to the send button, choose the date and time, for example 18:00 the evening before arrival, and confirm.

4

Check what is waiting to go

Open Scheduled in the sidebar to see every scheduled message, or the banner above the chat.

5

Answer the usual questions

Open Auto Replies from the sidebar and click "Add Rule". Trigger it on a keyword or an AI intent such as "what time is check-in", and send the quick reply.

6

Schedule the check-out note

From the same chat, schedule the check-out details for the morning of departure.

What Spun gives you

Your own saved instructions

Insert check-in, Wi-Fi and parking answers by typing "/". These are your own texts, not WhatsApp Business API templates, so there is nothing to submit for approval.

Scheduled from the chat

One message per schedule, set from the guest's chat: it is not a bulk drip, and it does not read check-in dates from a booking system.

Paced like a person

Automated messages show typing first, and a scheduled message leaves up to a few minutes after its time, never before. Each can be switched off for a line in Settings.

Auto-replies for common questions

Answer "where do I park" by keyword or AI intent. A rule can carry a cooldown and a daily cap per contact.

From your hotel's own number

Spun connects the number your guests already have saved, as a linked device through a connection provider. It is not the official Business API, so normal WhatsApp limits apply.

Instructions in the guest's language

AI Compose translates your instructions before you send. Check door codes and times before they go.

Thursday at a 12-room boutique hotel

  1. 08:00The receptionist opens Scheduled and sees that today's check-out notes went out a few minutes after 07:30.
  2. 09:30The parking entrance has moved, so the receptionist updates the Parking quick reply once.
  3. 11:00For each of Friday's arrivals, the receptionist inserts the Check-in reply in the guest's chat and schedules it for 18:00 today.
  4. 13:20A guest asks "where do I park?" and the auto-reply rule answers with the Parking quick reply.
  5. 18:02The check-in messages leave from the hotel's own number, one by one, a little after 18:00 and never before.

What Spun does not do

  • It does not read arrival dates from your PMS, channel manager or Booking.com. Each message is scheduled from the guest's chat; it is not a bulk drip.
  • It does not use the WhatsApp Business API or its pre-approved message templates, so normal WhatsApp limits apply.
  • A scheduled message may leave a few minutes late, never early. This can be switched off for a line under Settings → WhatsApp → Health (Expert mode).
  • If a booking changes, cancel the scheduled message and schedule a new one.

Frequently asked questions

How do I send check-in and check-out instructions automatically on WhatsApp?

Save your instructions once as a quick reply, then schedule them from each guest's chat for the evening before arrival or the morning of check-out. An auto-reply rule can also answer when a guest asks "what time is check-in". Spun does not read your booking system, so it does not know arrival dates by itself.

Can I send door codes and Wi-Fi details without retyping them?

Yes, save each property's arrival details as a quick reply and insert it by typing "/" in the message box, or schedule it for the day before arrival.

How do I ask guests for a review after they leave?

Schedule a short thank-you with your review link from the guest's chat for the day after check-out. Send it to guests you have actually hosted, one at a time.

What is the 24-hour window and does it apply to me?

The 24-hour customer-service window is a WhatsApp Business API rule, so it does not apply to a normal WhatsApp number connected to Spun. You can reply to a guest whenever the conversation needs it, without pre-approved message templates.

Does a hotel need the WhatsApp Business API?

No, most small and mid-sized hotels do not. The Business API needs approval, a number moved onto it, pre-approved message templates and per-message fees. Spun works on the number your guests already have saved.

Does Spun connect to my booking system or channel manager?

No, Spun does not sync with a PMS, channel manager, Booking.com or Airbnb. It handles the WhatsApp side. You can export contacts and chats to Google Sheets.
