What is a WhatsApp CRM, and does a small business need one?

Last verified November 2026

A WhatsApp CRM is software that keeps a record for each customer who writes to you on WhatsApp, ties it to the conversation and shows where that customer stands. A small business needs one once more than one person handles customers on WhatsApp, or when leads slip because nobody can see who is waiting for what. A solo owner with a manageable number of chats usually does not, because labels in the free WhatsApp Business app are enough.

CRM stands for customer relationship management. The rest of this guide covers what the software does in practice, how to tell which side of the line you are on, and what to check before you pay for one.

What does a WhatsApp CRM actually do?

The names differ between products, but the useful parts are the same five jobs.

  • Customer records: company, role, address and your own fields, shown beside the conversation instead of in a separate spreadsheet.
  • A pipeline: a board with stages you name, such as New, Quoted and Won, where each customer sits in one column.
  • Sorting: labels that split chats by topic, status or person, shared by everyone on the team.
  • Follow-ups: tasks and reminders tied to a customer, so a promise made in a chat does not depend on someone remembering it.
  • A shared view: several people work from the same list and can see what has already been said.

Is that not what labels in WhatsApp Business are for?

Partly. Labels are a good start, and they are free. The gap appears when you need more than one word of information about a customer, or when more than one person needs to work from it.

Does a small business need one?

You probably do if two or more of these sound familiar:

  • Two or more people answer the same WhatsApp number.
  • You have lost a sale because a quote was sent and nobody followed up.
  • Someone keeps a spreadsheet of leads next to WhatsApp and copies details across by hand.
  • When one person is away, nobody else knows what was promised to their customers.
  • You cannot answer "how many open enquiries do we have?" without scrolling.

You probably do not need one yet if you work alone, your chats fit on one screen, and customers buy in a single conversation. Use the free app and revisit this when you hire your first helper.

Do you need the WhatsApp Business API for a CRM?

Not always. There are two kinds of product. Many WhatsApp CRMs run on the Business API: you apply through a provider, usually on a dedicated number, and Meta charges per template message on top of the software. That route is built for sending templated messages at high volume.

Others connect to the number you already use as a linked device, so your chats and groups stay where they are, with no templates and no per-message fees. That route suits teams that mainly answer people who write to them, but it comes with normal WhatsApp limits and no official bulk allowance. Which one is right depends on how you use WhatsApp, not on the size of your business.

Should you buy a WhatsApp CRM or connect WhatsApp to a regular CRM?

If your sales already run in a full CRM, with deal values, forecasts and a team living in it all day, keep it and look for a way to connect WhatsApp to it. A WhatsApp-first tool will feel thin for that work.

If WhatsApp is where your customers actually talk to you and your current "CRM" is a spreadsheet or someone's memory, start with the tool built around the chat. People use what is in front of them, and a system your team has to leave WhatsApp to update tends to go stale.

What should you check before buying one?

  • Number: can you keep the one customers already have, or do you need a new one?
  • Groups: do your existing WhatsApp groups come along, if you work in groups?
  • The whole bill: platform fee, per-seat fees and per-message fees, added together for your team size.
  • Permissions: can you limit what each person sees?
  • Getting your data out: can you export contacts in a normal format if you leave?

Where does Spun fit?

Spun is a shared WhatsApp inbox with CRM features, on your own WhatsApp number and without the WhatsApp Business API. Each contact can hold company, job title, address and up to 30 custom fields, shown beside the conversation, with CSV import and export and duplicate detection. Kanban pipeline boards, labels, tasks with due dates and a Google Sheets sync cover the rest of the day-to-day work. Plans start at $49 per month with unlimited team members and no per-message fees.

What it is not: there are no deal values or sales forecasts, and it does not sync two ways with another CRM. If those are the reason you are looking, a full CRM is the better fit.

Frequently asked questions

Is the WhatsApp Business app a CRM?

No. It gives you a business profile, labels, quick replies and a catalog, which help you organize chats, but it holds no real customer records, pipeline or per-person logins.

Is there a free WhatsApp CRM?

The free WhatsApp Business app with labels is the closest thing, and it is enough for many solo owners. Dedicated products are usually paid, and many offer a free trial, which is the better way to test one on your real chats.

Can I run a WhatsApp CRM on my existing number?

Yes, with a product that connects as a linked device. API-based products usually need a dedicated number, so ask before you sign up.

What is the difference between a WhatsApp CRM and a shared inbox?

A shared inbox lets several people answer one number. A CRM adds customer records and a pipeline. Many products, Spun included, do both on the same number.
